These terms and conditions govern your use of this website and the services RGM Travel provides. By accessing this site or submitting a booking enquiry, you confirm that you accept these terms in full. As such, you agree to be bound by them throughout your journey. Please read them carefully before proceeding.

About RGM Travel

RGM Travel is a UK-based independent travel agency providing personalised holiday planning and expert support for every client. Specifically, we act as a retail travel agent, arranging travel through ATOL-protected operators and trusted global suppliers. As a result, RGM Travel acts as an agent only — not as the direct service provider.

Our Role as an Agent

Third-party providers supply all travel services — including flights, hotels, and transfers. Therefore, your contract sits with the specific supplier, not with RGM Travel. Importantly, we will share supplier terms before you book, and you must read and accept these before confirming any arrangements.

Travel Bookings & Accuracy

We make all bookings based on the information you provide. Consequently, you must ensure that all passenger names match your passports exactly, as errors may result in additional charges or cancellations. Please note that RGM Travel cannot accept responsibility for mistakes arising from the enquiry process.

Financial Protection

Your travel arrangements include financial protection depending on the booking type. In particular, we will confirm the exact protection that applies to your trip at the time of booking.

ATOL Protection

Covers flight-inclusive packages booked through ATOL-protected operators.

PTS Protection

Secures accommodation-only bookings through PTS-accredited providers.

Prices & Payments

Prices may change until you pay in full. Individual suppliers set their own deposit amounts and payment deadlines, so these will vary by booking. Additionally, we process all payments through secure platforms — RGM Travel does not store your credit card details directly.

Cancellations, Changes & Refunds

Individual suppliers set their own cancellation and refund policies, and we will share these with you before you confirm your trip. While we will assist with all communications on your behalf, the final refund decision rests with the supplier. As a result, RGM Travel cannot override third-party terms.

Travel Disruptions & Force Majeure

External events such as severe weather, strikes, or civil unrest may disrupt your travel. While we cannot control these situations, we will provide reasonable assistance wherever possible. However, RGM Travel cannot accept liability for costs arising from disruptions that fall outside our control.

Your Responsibilities

To ensure a smooth trip, you carry certain responsibilities. In particular, you are responsible for:

  • Providing accurate personal information at the time of booking
  • Reviewing all travel documents promptly upon receipt
  • Ensuring your passport and any required visas are valid for travel
  • Checking entry requirements for your destination

Travel Insurance

We strongly recommend that you purchase comprehensive travel insurance at the time of booking. Your policy should cover medical expenses, emergency repatriation, and unexpected cancellations. Furthermore, if you choose to travel without adequate insurance, you do so entirely at your own risk.

Liability

RGM Travel is not liable for the acts, omissions, or failures of third-party suppliers. Therefore, we do not accept responsibility for loss, injury, or damage arising from arrangements where we act as agent only. That said, nothing in these terms limits our liability in cases where English law prevents such exclusion.

Website Use & Intellectual Property

We provide this website for general information purposes only. Accordingly, you may not reproduce or use any site content without our prior written consent. Moreover, any unlawful use of this platform is strictly prohibited and may result in legal action.

Data Protection & Privacy

We handle your personal data in accordance with our Privacy Policy, which forms part of these terms and conditions. In addition, all data processing complies with current UK GDPR and Data Protection Act 2018 standards.

Complaints

If you have a complaint, please raise it with us as soon as possible so we can assist you promptly. However, for any unresolved disputes regarding a supplier's services, you should follow that supplier's own complaints procedure directly.

Governing Law

These terms and conditions are governed by the laws of England and Wales. Consequently, any disputes are subject to the exclusive jurisdiction of the English courts, regardless of where you are based.
